Information Management

In order to provide relevant, timely and quality assured programmes GRETB gathers information from, and supplies information to, the public, government departments, funders and awarding bodies. Learners are informed of their right to access their personal data under Data Protection and Freedom of Information legislation.

As new policies and procedures are developed and formally approved they will be published to this page and will supersede older versions.

1) GRETB complies with current legislation regarding management of personal data in our Data Protection, Freedom of Information and Records Management policies.

GRETB Data Protection Policy

Freedom of Information Policy

Records Management Policy

2) GRETB gathers information from learners and makes returns to funders and government departments. This is done via secure national databases.

PLSS/FARR: is a national database for the FET sector. Each centre/school has an authorised person who inputs data for that centre/school only. One AEO has access to and overall responsibility for collating the figures entered by the centres/schools on the database.

SalesPulse: each centre has an authorised person who inputs data for that centre only. The BTEI Co-ordinators and Community Education Facilitators have access to and responsibility for collating the figures for their programmes entered on SalesPulse.  One AEO has overall responsibility for the collation of figures entered on SalesPulse.

Manual returns: each VTOS centre supplies returns (education level, payment status, certification achieved and progression) to the authorised AEO for collation across the ETB and returned to the Department of Education and Skills.

3) Education and training programmes provided by GRETB lead to certification by various awarding bodies.

QBS: The Quality Business System (QBS) is QQI’s database for certification services. Each centre/school has authorised personnel who input candidates’ data for that centre/school only. The Training Centre results are uploaded by the TSO Office to the QBS.  The only other access to this database is by QQI.

Training Centre Databases:

RCCRS –Results Capture Certification Request System.  Each centre has an authorised person who inputs results for certification for that centre.  Results are approved by the Training Standards Office as authorised by the RAP (Results Approval Panel).

Client Services – This system has now been replaced by PLSS.  We still have access to Client Services which was developed by FÁS/SOLAS and utilise the database to assist with queries from learners i.e. check when a learner did a programme to establish certification results.

CAMS – Central Assessment Management System.  This platform hosts all the Assessment Instrument Specifications (including exams, portfolios etc) for all Training Centre programmes including apprenticeship.  The Training Standards Office has authorised persons who download/print and issue test packs to Instructors and 2nd providers.  (A New system CACMS is under development and will host all the AIS rebranded under ETBI).

Apprenticeship Client Services System:

Designated staff use this system to manage the interaction between GRETB Staff, employers and apprentices. The system is used to record apprentice progression throughout and after their apprenticeship is completed.

Designated staff, Version 4 and 2016+ apprenticeships Instructors and Apprentices use this VLE to share information, obtain and submit assessment material, and receive feedback and results.

Other certifying bodies e.g. Microsoft, ICS Skills, CIDESCO etc: each centre/school has an authorised person who inputs data for that centre/school only. The only other access to these databases is by the certifying body.
